Archive Codes
The first character of the key on the request tracking file
(REQINFO) is an archive code. Valid values for this
archive code are on the RQA table. Many programs (online
and batch) look at requests considered current. In the
batch environment, it is easy to scan all requests in the tracking file. In
the online environment, this can cause considerable delays. As a result, a way
was needed to indicate that a request was completed and no longer current. The
archive code is used to indicate that condition. A code of
C indicates the request is still considered current. A
code of A indicates the request has been completed and
is no longer considered current.
Archiving
A batch process performs the archive process. For a request to have its
status changed from current to
archived, it must
- be marked as completed or withdrawn
(cancelled)
- have a status date more than 30 days prior to the date the
archiving process was executed.
In the archive process, a request eligible for archiving has the first
character of its file key changed from a C to an
A. The request is then inserted into the file with its
new archived condition. The current version of the
request is then removed from the file.
Unarchiving
It is occasionally necessary to reactivate a request that has been
archived. This is done in the online environment using the request tracking
maintenance application (RTU). To be able to unarchive a
request, an individual must have a value of 5 for the
PRU ACD.
